Refund & Cancellation Policy

This Refund and Cancellation Policy describes how Bestax Accountants handles fees, payments, cancellations, and refunds for the professional services we provide.

It applies to clients who hire us for accounting, bookkeeping, tax, audit, business setup, payroll, or advisory work. Read this policy together with the engagement letter or service agreement for your specific project. If the two ever conflict, your signed engagement letter takes priority.

Nothing here limits any rights you may already have under consumer-protection law that applies to you, including the Ontario Consumer Protection Act or the Quebec Consumer Protection Act.

Engagement and Fees

The scope of work, fees, and payment schedule for each project appear in a quotation, proposal, or engagement letter that we agree on with you before work starts. Depending on your engagement, fees might be a fixed amount, tied to milestones, billed as a monthly retainer, or based on time spent. Unless we agree otherwise in writing, fees are due in advance or according to the payment schedule set out in your engagement.

Government and Third-Party Fees

Some services, especially business or company registration, government filings, and similar work, involve fees paid to government bodies such as federal or provincial corporate registries or the CRA, or to other third parties on your behalf. Once these government and third-party fees are paid or committed, they cannot be refunded, even if an application is delayed, turned down, or withdrawn, because those amounts leave our hands and are outside our control.

Deposits and Advance Payments

Any deposit, advance payment, or retainer we collect goes toward the fees for your engagement. Deposits may not be refundable once work has started or once we have spent money or committed resources on your behalf, as described in your engagement letter.

Cancelling as the Client

To cancel an engagement, tell us in writing at info@accountingfirmmississauga.ca. How much, if anything, comes back to you depends on how far along the work is when you cancel:

  • Before work begins: professional fees you paid may be refunded, minus any non-refundable government or third-party fees already paid or committed and any reasonable administrative charges.
  • After work begins: we keep fees in proportion to the work already done and costs already incurred up to the cancellation date. We refund any balance left over.
  • Completed or filed work: fees for services that are already finished or filed are not refundable.

Cancelling as Bestax

We may choose not to start, or may pause or end, an engagement if you have not given us required information or documents, if professional or regulatory rules cannot be met, if fees remain unpaid, or if continuing would break the law or professional standards. In these cases, we are entitled to charge for work already done and costs already incurred up to the date we end the engagement.

Asking for a Refund

To ask for a refund, write to us at info@accountingfirmmississauga.ca with your engagement details and the reason for the request. We review eligible requests and reply within 7 to 14 business days. Once we approve a refund, we process it back to your original payment method, usually within 7 to 14 business days of approval. We may deduct third-party payment-processing fees, bank charges, or currency-conversion differences from the amount refunded.

When We Cannot Offer a Refund

Refunds generally are not available when:

  • The service is already completed or filed.
  • Non-refundable government or third-party fees have already been paid or committed.
  • A delay or problem comes from information you gave us that was inaccurate, incomplete, or late.
  • Required onboarding or regulatory steps have not been completed.

Consultations and Appointments

Free initial consultations carry no charge and can be rescheduled or cancelled anytime. For a paid consultation or appointment, please give us at least 24 hours' notice to reschedule or cancel. Missed appointments or late cancellations may not be refunded.

Payment Concerns and Chargebacks

If something about a payment concerns you, contact us first so we can sort it out directly. Filing a chargeback before reaching out to us can slow down the resolution.

Changes to This Policy

We may update this policy from time to time. Any change will appear here with a new "Last updated" date and will apply to engagements that start after the change is made.
