Real Estate Accountant Mississauga: Tax, Bookkeeping and Property Accounting

Settle three things before the next rental year closes: how the property is owned, whether CCA is worth claiming, and what the sale will cost in tax. This guide covers rental income accounting, HST on property, the 2026 capital gains rules and the bookkeeping behind all three.

Half of the gain on a Mississauga rental sold in 2026 is taxed. Every dollar of capital cost allowance claimed along the way is taxed in full on top. A real estate accountant Mississauga investors retain is there to decide, years before the sale, whether that trade is worth making.

In this guide, we cover how rental income and expenses are accounted for on Form T776, and how HST and corporate ownership change the picture. We then cover what a sale costs under the 2026 rules, and the bookkeeping and cloud platforms that hold it together.

Real Estate Accounting Mississauga Investors Need: Rental Income, Expenses and CCA

Rental income tax Canada rules start with one form and one principle. Every dollar of rent you receive is reported, and every expense is deductible only if you incurred it to earn that rent.

Form T776 and Rental Income Accounting

Rental income is reported on Form T776, the Statement of Real Estate Rentals, filed with your T1 return for each year the property was rented. A year that produced a loss still needs the form. Ontario land transfer tax and closing costs are not expenses on it. They go into the cost base and reduce the gain on sale. The closing statement is therefore kept with the file for as long as you own the property. The form takes gross rent, lists expenses by category, and arrives at net rental income or loss before CCA. A Form T776 accountant builds it from the rental property bookkeeping behind it, so each line ties to a ledger the CRA can test. That is what real estate accounting services Mississauga owners pay for.

  • Mortgage interest, but never the principal, and only on money borrowed for the property, so a refinance spent personally loses the deduction on that portion
  • Property tax, insurance, utilities you paid, and condominium fees, with Peel's property tax deductible in full on a rental
  • Repairs that restore the property, as against improvements that add to it
  • Management, advertising, legal and accounting fees
  • The personal-use portion removed where you live in part of the building
Rental property tax rules: report income on Form T776, deduct mortgage interest, property tax, insurance and utilities, repairs vs improvements

The line the CRA tests most is repairs against capital. If you replace a roof like for like, that is a repair and deductible in the year. If you replace it with a better one, or renovate a kitchen, that is capital and goes into the building's cost for CCA. Our team classifies every invoice over a threshold before it is posted.

Capital Cost Allowance on a Rental Property

CCA rental property owners can claim is depreciation on the building, not the land. The rate is 4 percent a year on the declining balance under Class 1, with half that rate in the year of purchase. Capital cost allowance rental property rules add two limits. CCA cannot create or increase a rental loss, so it is capped at net rental income before CCA. Every dollar claimed is also recaptured as fully taxable income when the building is sold for more than its depreciated value.

  • Year 1 deduction

Claim CCA$8,000, at 4 percent on half the cost
    Defer CCANil
  • Tax saved over 10 years at a 43 percent rate

    Claim CCAAbout $57,000
    Defer CCANil
  • Recapture on sale at a 46 percent rate, if the building sells above cost

Claim CCAAbout $61,000 of income, about $28,000 of tax
    Defer CCANil
  • Net effect

Claim CCAA deferral worth the time value, costly if sold soon
    Defer CCASimpler, no recapture

If you are in a high bracket and holding for a decade, you usually claim. If you plan to sell within a few years, or to move in, you usually do not. A rental property tax accountant runs both columns before the first claim, and an accountant for rental property who never raises the question has not done the work.

Rental Property Bookkeeping That Survives an Audit

Real estate bookkeeping Mississauga landlords keep is simple in volume and exacting in evidence. The CRA asks you for the lease, the bank records showing rent received, and the invoice behind every expense claimed, and it denies what you cannot produce. Our team keeps one ledger per property and a separate bank account for the rental activity. A receipt is attached to every transaction in the cloud accounting platforms the next section covers.

  • One ledger and one bank account per property
  • Every expense posted with its invoice, categorised to the T776 line
  • Capital items tracked in a fixed asset register with the CCA class and claim history
  • Records kept for six years after the return, and the purchase documents for as long as you own the property
Five rental property bookkeeping habits: one bank account and ledger per property, attach receipts, track capital items, keep records 6 years

Real Estate Tax Mississauga Owners Face: HST, Corporations and Property Management

Beyond the annual return, three questions decide how much you pay over the life of the investment: whether HST applies, whether to hold the property in a corporation, and how a managed portfolio is accounted for. A property accountant Mississauga investors retain answers each before the money moves.

Real Estate GST HST Rules

Residential rent on a lease of a month or more is exempt from HST, so you charge none and recover none on the property's costs. Commercial rent carries 13 percent HST in Ontario, and you register once rents pass $30,000, file HST returns and recover the HST on the building's costs. New construction is where investors get caught. HST is payable on a new build, with a rebate recovering part of it, and an assignment of a pre-construction contract is a taxable supply.

  • Residential rent, lease of a month or more

    HSTExempt
    RecoveryNone on the property's costs
  • Commercial rent

    HST13 percent
RecoveryInput tax credits on the costs
  • Purchase of a new residential unit to rent

    HST13 percent on the price
    RecoveryNew residential rental property rebate
  • Purpose-built rental building

    HST13 percent on construction
RecoveryEnhanced rebate of the federal portion
  • Assignment of a pre-construction contract

HST13 percent on the assignment profit
    RecoveryNone

A real estate tax Mississauga question we answer every month is whether a condo rented on short-term platforms has crossed into taxable supplies. Once it has, you register, charge HST and file.

Holding Property in a Corporation

A real estate corporation accountant, like any accountant for property investors, is asked the same question by most investors with more than two properties, whether to incorporate. Rental income in a Canadian-controlled private corporation is passive income, taxed at about 50 percent in Ontario with part refundable when dividends are paid. The corporation files its own return with its own deadlines. There is no rate advantage while the income is retained. Passive income above $50,000 also grinds the small business deduction on any active business the corporation runs. Your reasons to incorporate are liability, estate planning and the ability to bring in partners, not the annual tax bill. Owning personally with a spouse splits the income only in the proportion each of you funded the purchase. The attribution rules return the rest to the one who paid.

  • Rental income: passive at about 50 percent in a corporation, or up to 53.53 percent at your personal marginal rate
  • Capital gains: 50 percent inclusion in both, with the non-taxable half flowing out tax-free through the capital dividend account
  • Transfer in: land transfer tax on property you already own, and corporate mortgages priced higher with a personal guarantee
Comparison of personal and corporate rental property ownership: setup, tax rates, financing, admin, partners and passive income rules

A real estate investor accountant Mississauga clients work with models the two structures on the actual properties, because three condos and a development portfolio get different answers.

Property Management Accounting

Property management accounting adds a layer where a manager collects rent, pays expenses and remits the net. Our team reconciles the manager's monthly statement to your ledger. The T776 then reports gross rent and gross expenses rather than the net remittance, with the HST on the management fee treated correctly.

Real Estate Capital Gains Tax and Property Sale Tax Canada Rules for 2026

Three rules decide the tax on a sale. A real estate tax accountant applies them in the year before the listing, when the year of sale and the cost base can still be changed.

The 50 Percent Inclusion Rate

Real estate capital gains tax in 2026 is charged on half the gain. The proposed increase to two thirds was cancelled in March 2025, so there is no $250,000 tier. Your gain is the sale price less the adjusted cost base, which is the purchase price plus acquisition costs plus capital improvements, less selling costs.

  • Adjusted cost base, purchase plus closing costs plus capital improvements

    Amount$560,000
  • Selling costs, commission and legal

    Amount$45,000
  • Capital gain

    Amount$295,000
  • Taxable capital gain at 50 percent

    Amount$147,500
  • Tax at a 46 percent marginal rate

    AmountAbout $67,850
  • CCA recapture, if $40,000 was claimed and the building sold above cost

AmountAdd $40,000 of income, about $18,400 of tax

The Flipping Rule and Business Income

Property sale tax Canada rules add a trap for short holds. A residential property sold within 365 days of purchase is treated as flipped, and the whole gain is business income taxed at 100 percent. The exceptions are life events such as death, separation, relocation or insolvency. A real estate investor tax accountant documents your intention to hold at purchase, because the CRA asks for it after the sale.

Real Estate Tax Planning Before a Sale

Real estate tax planning for a sale starts a year or more before the listing. An investment property accountant runs it on the year of sale as much as on the property. You choose the year against your other income, because the taxable gain lands in one year and pushes you up the brackets. The tax is paid to the CRA with that return or through instalments the year after. A capital gains reserve can spread it over up to five years where proceeds are deferred. Where the property was once your home, the principal residence exemption for the qualifying years is the largest saving available.

Cloud Accounting for Real Estate: The Platforms We Run Property Files On

Property accounting services run on the same cloud accounting platforms as any small business, and the same Mississauga accounting services that handle a trading company handle a portfolio. The file has one ledger per property and the T776 categories as the expense lines. Accountants for property call that a clean file because every return is built from it without re-keying.

  • QuickBooks for real estate

    FitsSeveral properties, or a corporation
How we set it up for propertyA class per property, HST codes by rent type, fixed asset register for CCA
  • Xero for property accounting

FitsA manager or bookkeeper in the file
How we set it up for propertyTracking categories per property, unlimited users
  • Sage accounting real estate files

Whichever platform you use, our team builds the file so the T776, the HST return and the fixed asset register come out of the same records.

Decide Ownership, CCA and the Exit Before the Next Rental Year Closes

Each decision below is made once, carried forward every year, and recovered in full at the sale if it was wrong.

  • Classify repairs against capital when the invoice is paid, because the choice decides both the deduction and the cost base
  • Decide whether to claim CCA on the holding period you expect, not by default
  • Model personal against corporate ownership on your actual portfolio before the next purchase
  • Plan the sale a year ahead for the year of income, the cost base, the flipping rule and the principal residence years

Send us the leases, last year's T776 and the closing statement for each property. A rental property accountant Mississauga owners can meet in person will tell you within the week what each property owes and what it will owe on sale. Our real estate accounting team in Mississauga will rebuild the ledger per property and tell you whether to claim CCA. We then confirm the HST position and give you the tax on a sale at today's figures.

Frequently Asked Questions

I rent out my basement in Mississauga. Do I still file a T776?

Yes. Rent from part of your home is reported on T776, with expenses apportioned by the share of the house rented. Do not claim CCA on a home you live in, because it can cost you part of the principal residence exemption when you sell.

I bought a pre-construction condo to rent and paid HST at closing. Can I get it back?

Usually yes, through the new residential rental property rebate, provided the first tenant signs a lease of at least a year and you apply within two years of closing. Missing the two-year deadline forfeits it.

Does moving into my rental property trigger tax?

Yes. Changing a property from rental to principal residence is a deemed disposition at fair market value. The gain to that date is taxed at 50 percent inclusion, and any CCA is recaptured. An election under subsection 45(3) defers the gain where no CCA was claimed, which is one reason not to claim it on a property you expect to move into.
